Charms Overview
Charms is a website that helps your family as well as band booster volunteers monitor student accounts and easily make payments on things like instrument rentals, band fees, etc. For example, you can:

Setting Up Your Charms Account
The following information will help you get started using Charms. If you have trouble accessing or viewing the Charms website please try another web browser. If you continue to have trouble, please email treasurer@apexhighband.org.
1. Visit www.charmsoffice.com, and click LOGIN in the upper right corner.
2. Select the "Parents/Students/Members" option from the LOGIN menu.

3. Enter the following school code: apexband

If this is your first visit, in the Student Area Password field enter your child's TEMPORARY Student Area Password (LastNameFirstInitial, e.g. JacksonT), All letters, No numbers, No hyphens, be sure to capitalize both last names if you have more than one (McCreeryA, SmithJonesM) If 2 students have same first initial, go to the next letter in first name – JacksonMi and JacksonMa to ensure it is unique.
5. Setup a personal password different from the temporary ID. You can also enter information that will assist in password recovery in the future.
VERY IMPORTANT!! Now that you have established your own personal student password, you will ONLY log in using:
- School Code: apexband
- Student Area Password: the password you established
You will NO LONGER need to use the temporary ID such as SmithJ.
You can now visit the Online Store within Charms to make payments for spirit wear, Band Banquet, and other band related items and make band payments. See below for instructions on using the Charms store or for making payments.
Charms Financial Statement
To check the current status of your student's Charms account (aka Student Financial Statement) log into Charms and click on the Finances icon.
You will then see a spreadsheet view like this:
Some of the line items you'll see there include:
- Trip – Tracks invoices and payments related to trips.
- Fixed Payments – Tracks band assessments and instrument rental fees.
- Fundraising – Tracks all the student’s fundraising transactions.
- Miscellaneous Balance (Student Account Balance) - Holds all fundraising profits as well as any miscellaneous payments.
- Store Balance - This is displayed if you have purchased an item through the online store and still owe money.
- Total Balance - The sum of the Trip, Fixed, Fundraising, and Store balances due, less the Miscellaneous Balance (aka Student Account). This is simply a "view" of how much is owed.
Using the Charms Store
- If you have trouble accessing or viewing a page - try another browser. If you continue to have trouble, please email treasurer@apexhighband.org.
- Visit www.charmsoffice.com, and click LOGIN in the upper right corner.
- Select the Parents/Students/Members option from the LOGIN menu.
- Enter the following school code: apexband. (If you see a Parents/Students/Members tab make sure to choose that.)
- In the Student Area Password box enter your student password. If this is your first time logging in, please see setup instructions above. (NOTE: There are no parent logins; always use the student login.)
- Select the red shopping cart icon across the top OR from the HOME tab, select the Online Store icon.
- Scroll to find the item you would like to purchase and click CHOOSE.
- Select the ITEM on the left side then Select the DESCRIPTION on the right side (if applicable). If you do not select the description on the right side, your item will not be added to the cart.
- Enter Quantity desired and click UPDATE CART.
- Verify order or keep shopping. Once ready, click CHECKOUT.
- Choose payment option:
- AffiniPay (RECOMMENDED), if you would like to pay immediately via credit card. Click Process Payment and follow on screen instructions.
- Bill and Print (when available). If you prefer to pay with your Student Account (must have full balance available), click Process Payment then click the "OK" button to confirm amount. IMPORTANT: You must send an email to studentaccounts@apexhighband.org to request your student account funds to be used for the store purchase. (Student accounts can only be used for student purchases not for family purchases.)
Forgot Your Charms Password?
- Go to Charms Log-In
- Select Parents/Students/Members Tab
- Enter apexband for School Code
- Try your password under "Student Area Password" and click Enter
- If the password is incorrect enter your student's name and email or cell phone and click Find My Password (see picture on the right).
- They will receive an email or text with a link to change the password
- If you don't remember your student's email or cell phone number in Charms, contact the SAA at saa@apexhighband.org
Making Payments in Charms
Paying with Student Account Funds
To transfer a payment from your student account (e.g. from fundraising funds):
1. Log into Charms (see previous instructions)
2, Select the Finances icon on the home screen.
3. Click TRANSFER REQUEST at the top.

3. Select the type of fees that you would like to pay (e.g. Marching Rental fee, etc.).
4. Complete the on-screen form and click Send Request. This will submit your transfer request.

A confirmation email will be sent to the email address(s) listed in the light blue box at the bottom. The fee will then be paid from your student account funds within a few days. If you have any questions please email studentaccounts@apexhighband.org.
Credit Card Payments
To make a credit card payment:
1. Log into Charms (see previous instructions)
2. Select the Finances icon on the home screen. You should now be viewing the Student Financial Statement.
3. Select one of the following:
Partial Payments
Note: Charms does not allow a partial “fixed payment”. A fixed payment is defined as either a Marching Band Assessment or Instrument Rental Fee. For example, if you have $75 in your Miscellaneous Ledger (Student Account), you cannot apply it toward a $150 Marching Band Assessment. (Charms sees these dues as either paid in full or unpaid.) INSTEAD, you may either make a payment for the difference to your Miscellaneous Ledger via credit card and then transfer the full amount as described above or email studentaccounts@apexhighband.org asking to deduct the amount from your Miscellaneous Ledger if you need assistance.

- Pay Fixed Payments (select each item you want to pay for in the Paid By column, before clicking the button)
- Make Fundraising Payment (make sure to first choose the activity, before clicking the button) or
- Make Miscellaneous Payment.

What login should I use? Student? Parent?
Apex High School Bands are using accounts associated with each student only. Parents/Guardians should log into this account to view their student's band account details and make use of other Charms features.
Can I view my payment status if I am a Chaperone?
Yes. When logging in to Charms, after you enter "apexband", select Parent/Student under the login tab. You will see STUDENT AREA PASSWORD on the left, and TRIP CHAPERONE on the right. Your default log in is also your last name/first initial JonesA, SmithB, McDonaldR, etc. You will be able to access your balance via the website, but not via the mobile app.
Which calendar should I be using, the Google calendar linked on the website or the calendar in Charms?
Please use the Google calendar found on the Calendar page of this website; it is kept up to date by the band boosters and Mr. Jarvis. The calendar features of Charms are not in use by Apex High Bands. If you'd like to include the band events on your smart phone or other web calendar, you can subscribe to the band's Google calendar and the band events will automatically appear on your personal Calendar.
Where should I sign up to volunteer for band events?
Please continue to use signup genius links provided in emails. The volunteer features of Charms are not currently in use by Apex High Bands.
What if I can't remember my log in information?
