Did you know it takes around 15 hours of volunteer time per student each year to run a successful music program? We are in the process of putting together our teams for this upcoming season and we need you!
Join us behind the scenes to support your child showcasing their love of music.
Some volunteer opportunities are just a few hours a month.

Audit Committee – OPEN POSITIONS - filled in January
TIME COMMITMENT: 3 hrs at your pace
WHEN: May
- 3-4 members to use prepared checklist to review our financial records and processes. This process typically takes approximately 2 hours - sampling check requests, deposit slips, tax documents, etc. No experience or certifications required. Attention to detail a plus. The audit committee meets in the Spring after the start of the new fiscal year has closed and accounts are reconciled.
Band Camp Committee – Chairpersons: OPEN (co-chairs) camp@apexhighband.org
TIME COMMITMENT: sign up for one or two 4hrs practices/day as available
WHEN: July/August- during Band Camp
- The Band Camp Coordinators organize volunteers who set up/take down the band camp area each day and are present to help any students needing assistance (overheating, headaches, etc) Create and monitor a volunteer sign up to ensure volunteers are present during all day/evening band camp practices
- The The Camp Coordinators host a “Boot Camp” to educate volunteers on band camp practices (setting up tents, providing water, first aid needs, etc)
Chaperones Committee –Co-Chairs: Amanda Lynch & Katie Ayers chaperones@apexhighband.org
TIME COMMITMENT: 10-15 hrs
WHEN? Fridays- Football Games & Saturdays-Marching Band Season
- The Chaperone Coordinator is responsible for making sure our band kids have parental supervision at games, competitions and parades, and making sure that the chaperone backpacks and bus bugs have the proper medical supplies for emergencies.
- Additional Volunteers are needed to chaperone Marchers, Visual Ensemble, Front Ensemble Percussion at football games, competitions and parades
Communications Committee – Director: Katie Ayers communications@apexhighband.org
- Communications Board Member for the Apex Band Boosters coordinates all forms of communication
- Email Blasts – Communications Officer - Katie Ayers
- Communications Board Member responsible for sending weekly email blasts to keep our students and parents up-to-date on the happenings of the band

- Social Media: Katie Ayers
- Historian - Sarah Sowers historian@apexhighband.org
- Works closely with Videographers/Photographers to ensure that photos and videos taken throughout the year – starting with Marching Mini Camp in the Spring and continuing through the final academic performance of the school year - are properly archived.
- Creates band calendar from marching band section pics for sale in November/December
- Creates marching band banquet slideshows/videos
- Videographers - OPEN
- Videos marching and academic performances, edits and puts on YouTube
- Makes marching band videos available to Mr. Jarvis same weekend to review for coming week’s practices. Unedited version ok.
- Assists Historian as needed with marching band banquet videos
- Photographers - OPEN
- Takes pictures of marching and academic performances and fundraising events
- Posts pictures on Facebook / Instagram
- Assists Historian as needed by supplying pics for marching band banquet slideshows
- Half Time Announcer – James Mauldin announcer@apexhighband.org
- Volunteers (1-2) needed to announce our show at half time for all home football games

Ways and Means Board Member for the Apex Band Boosters overseas all fundraising events:
- Car Wash Ticket Sales (General Band Fund)* – organize selling Tidal Wave Car Wash tickets
- Grocery Cards (General Band Fund) - get information to the Band Booster Parents on how to earn money for the general fund by linking their grocery account to Harris Teeter Together in Education and Publix
- Corporate Sponsorships* – James Mauldin sponsors@apexhighband.org
- Coordinator for Apex High School Band Sponsorship Program – seek/secure corporate sponsors, send thank you notes, work with webmaster to get logos on band website, work with president and director on banner printing
- GoPlaySave* – Susan Lamatrice & Co-Chair Position OPEN goplaysave@apexhighband.org
- Coordinator for annual GoPlaySave fundraiser
- Mattress Sale* – James Mauldin mattresssale@apexhighband.org
- Coordinator to organize and promote our annual Mattress Sale

- Coordinator for RaiseRight to work with student accounts to post proceeds and place orders for physical cards throughout the year

- Coordinator with local restaurants on timing and details to organize spirit nights throughout the year

- Coordinator to purchase and sell our Spiritwear (including show shirts), Setup store purchases
*ALL parents and students are expected to participate in fundraisers that support the general band fund.
Mentors – Chairperson: OPEN mentor@apexhighband.org
TIME COMMITMENT: Varies from 1-3 hours/week during band camp
WHEN: The beginning of marching band season
- The Chairperson to work with the Sergeant-at-Arms to identify new band families and assign mentors
- Experienced parents will be asked to mentor new band families in each section during Band Camp and into the marching season and work with section leaders to build a calendar of events for section socials outside of band practice
Middle School Committee – Chairperson: OPEN middleschool@apexhighband.org
- Liaison is responsible for getting information (flyers/emails/blurbs) to the middle schools that feed Apex High for Middle School Night in the fall and Open Registration in the spring.
- Coordinates the registration/welcome table on Middle School Night.
- Additional Volunteers (3) are needed on Middle School Night to welcome and register the 8th graders performing with the band. Also needed are parents who can help deliver flyers about our events to the middle schools that feed Apex High.
Nominating Committee – OPEN - filled in December nominations@apexhighband.org
- Parents (3) needed at the beginning of the year (January/February) to seek and collect nominations for each elected position on the board (President, VP1/Transportation, VP2/Ways & Means, Secretary, Treasurer, Communications, Sergeant-At-Arms)
PIT Crew Committee – Chairperson: Josh Atwell pitcrew@apexhighband.org
TIME COMMITMENT: 3-15 hrs (football game vs competition)
WHEN? Fridays- Football Games (done after halftime) & Saturdays-Marching Band Season
- The PIT Crew coordinator leads a team of parent volunteers in getting the front ensemble equipment and drum major stand(s) to the field for competitions and games. Also, coordinates the efforts to get large instruments to parades.
- Additional Volunteers are needed to get the pit equipment on/off the field for football games (no travel) and competitions (travel to competition location). Parents also needed to get large instruments to parade route.
Props Committee – Chairperson: OPEN props@apexhighband.org
TIME COMMITMENT: 3-15 hrs (football game vs competition)
WHEN? Fridays- Football Games (done after halftime) & Saturdays-Marching Band Season
- The Props coordinator is responsible for coordinating the efforts behind building the props for the show and getting the props to the field for football games and competitions.
- Additional Volunteers are needed to design and build the props with guidance from Mr. Jarvis and also get the props to the field during games (no travel) and competitions (travel to competition location).
Social Committee – Chairperson: Katie Ayers social@apexhighband.org
TIME COMMITMENT: 3-5 hrs depending on the events
When: Varies, August-December
- The Social Committee Chair is responsible for organizing the efforts behind planning 4 main social events and acting as liaison with student band leadership to support BOCO and Senior night related activities. Detailed documentation for each event is available.
- Plan an ice cream social one day during band camp
- Back to School Marching Band Family Picnic – Coordinator: OPEN

Store Manager – Karen Chaney storemanager@apexhighband.org
- A parent is needed to manage the online store purchases like Dinkles, Track Pants, Concert Dresses, Tuxes, All District Auditions/Clinic, any type of RSVP/ticket scenario (Picnic and Banquet RSVP’s,etc). Involves setting up the store purchases and summarizing orders when necessary.
Student Accounts Coordinator – Karen Chaney studentaccounts@apexhighband.org
- A parent who will work closely with the treasurer and fundraising committee to ensure all fundraising income is assigned and posted to the appropriate student within our Membership Toolkit database. Transfers funds from student accounts for band fees as requested by students/parents. Performs monthly reconciliations of our band checking account (simple & quick via Membership Toolkit) and assists the treasurer when needed.
Transportation Committee – Director: Brad Davis transportation@apexhighband.org
TIME COMMITMENT: Varies depending on competition
WHEN: Competition Saturdays during marching band season (October)
- 1st Vice President of the Apex Band Board member organizes the buses to/from competitions and the vehicles/drivers needed to tow our props band trailer and drive the Penske Truck carrying PIT equipment.
- Parent Drivers for the Props Trailer and Penske Truck are needed for each competition. Also needed is a vehicle per competition that can tow the trailer (gas reimbursed).
Uniform Committee – Chairpersons: Lindsey Davis & Co-Chair OPEN uniforms@apexhighband.org
TIME COMMITMENT: 4-15 hours (football game vs competition)
WHEN: Competition Saturdays during marching band season (October)
- The Uniforms Chair is in charge of all things UNIFORM/CLOTHING
- Formalwear Chair– Chairperson: OPEN formalwear@apexhighband.org
- Parent needed at the beginning of each academic semester to coordinate the ordering of tuxes (with Savvi Formalwear) and concert dresses to ensure all students (new and returning) have proper concert clothes
- Additional Volunteers are needed to assist with measurements, ordering and distribution for uniforms and concert attire- takes place during the school day
- Additional Volunteers needed to iron uniforms & fit the students for uniforms, marching shoes and track pants during band camp.
- Volunteers are also needed during games, competitions and parades to assist with uniforms and plume and deplume the hats (put feathers in).
